Terms of Service
Last updated October 7, 2026
These terms cover your use of GmailFlow. By signing in, you agree to them. If you use GmailFlow for a company or other organization, you agree on its behalf and confirm you have the authority to do so.
The Privacy Policy explains how we handle personal data, and is part of these terms.
The service
GmailFlow sends email sequences from the Gmail and Google Workspace mailboxes you connect, and stops a recipient's sequence when they reply. What you can do, and how much you can send, depends on your plan.
Your account
- You must be at least 18.
- You sign in with a Google account, and you're responsible for everything done through your GmailFlow account.
- Tell us right away if you think someone else has access to it.
Teams
Everything in GmailFlow happens in a team. When you sign up, you create a team of your own and choose its plan, or join a team you were invited to, and you can create more teams. A team's owner can invite people to join it, and decides which members can use each of its mailboxes. The owner can remove members, make another member the owner, and delete the team. Members can leave a team at any time.
If you own a team, you're responsible for who you invite and for what its members do in it.
Connecting Gmail
When you connect a mailbox, you authorize GmailFlow to send email from it and to read the headers of its messages, to detect replies and bounces and to check that its emails went out. You must own the mailbox or have permission to connect it. The mailbox belongs to the team you connect it in: the team's owner decides which members can send from it, and it stays with the team if you leave.
Google's own terms and policies still apply to your mailbox. Google sets its own sending limits and can restrict or suspend a mailbox for reasons we don't control, and we aren't responsible for what Google does with your account. A team's owner can disconnect any of its mailboxes in GmailFlow, and so can whoever connected one while they can still use it. You can revoke GmailFlow's access from your Google Account at any time.
Acceptable use
You're responsible for the email you send with GmailFlow. You must:
- Follow the laws that apply to your email, such as CAN-SPAM, the GDPR and the ePrivacy rules, and CASL.
- Have a lawful basis to email every contact you upload.
- Include a visible way to opt out wherever the law requires one. The unsubscribe link placeholder does this for you.
- Use accurate sender details and subject lines that aren't misleading.
GmailFlow adds unsubscribe headers to every email and stops emailing anyone who unsubscribes. Don't work around that. You also must not:
- Send phishing, malware, fraud or other illegal content, or use GmailFlow to harass anyone.
- Email bought or scraped lists in places where the law requires the recipient's consent.
- Get around your plan's limits, for example by opening several GmailFlow accounts or teams.
- Probe, overload or break the service, or try to reach other customers' data.
- Resell GmailFlow without our written permission.
Your content
The templates, campaigns and contact data in a team belong to that team, whoever put them there. Its owner controls them, and they stay with the team when a member leaves or deletes their account. You let us store, process and send them only as far as we need to provide the service. For a team's contacts' personal data, the team's owner is the controller and we process it on their behalf, as the Privacy Policy describes.
Plans and billing
- Plans belong to teams. A team's owner chooses its plan and pays for it, and the team's members share its limits.
- Stripe bills paid plans in advance, monthly or yearly. They renew automatically until you cancel.
- If your plan starts with a free trial, you're charged when the trial ends unless you cancel before then.
- A team's owner can cancel at any time from the team's billing page. The plan stays active until the end of the period paid for. Deleting the team cancels its plan straight away.
- Payments aren't refundable, except where the law requires a refund.
- We'll tell you at least 30 days before a price change applies to your subscription.
Suspension and termination
You can stop using GmailFlow and delete your account at any time from Privacy settings or your Account page. If you own a team that has other members, you first make one of them its owner or delete the team. A team's owner can delete it from its settings.
We may suspend or close your account if you break these terms, don't pay, or use GmailFlow in a way that puts other customers, our systems or our standing with Google at risk. Where we can, we'll warn you first and give you time to export your data. Once an account is closed, we delete its data as the Privacy Policy describes.
Changes to the service
We may add, change or remove features, including what each plan includes. If a change takes away something you pay for, we'll tell you in advance.
Disclaimers
GmailFlow is provided "as is" and "as available". We don't promise that it will run without interruptions or errors, that your emails will land in the inbox, or that it will classify every reply, automatic reply and bounce correctly. Open and click counts are estimates, because privacy features in some email apps and corporate link scanners open emails and follow links on their own.
Limitation of liability
As far as the law allows, GmailFlow isn't liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill. Our total liability for any claim about the service is limited to what you paid us in the 12 months before the claim arose. Nothing in these terms limits liability that the law doesn't allow us to limit.
Indemnity
You'll defend and compensate GmailFlow against claims and costs that come from the email you send, the contact data you upload, or your breach of these terms.
Third-party services
GmailFlow relies on Google and Stripe, and their own terms apply when you use them. Gmail and Google Workspace are trademarks of Google LLC. GmailFlow isn't affiliated with or endorsed by Google.
Changes to these terms
We may update these terms. When we do, we change the date at the top, and we email you about significant changes before they take effect. If you keep using GmailFlow after that, you accept the new terms.
