Frequently asked questions
How GmailFlow sends from your Gmail account, what your plan counts, and what your recipients see.
The basics
Is GmailFlow a tool for mass marketing or cold outreach?
No. GmailFlow is strictly an email productivity tool designed for relationship management, user onboarding, and follow-up automation with contacts who expect to hear from you. We have a zero-tolerance policy towards unsolicited commercial email (SPAM).
What is the difference between a sequence and a campaign?
A sequence is the email workflow you create, including the emails, delays, and conditions. A campaign uses that sequence with a specific group of contacts and a sending schedule. For example, you could create a "Client Follow-Up" sequence once and then use it in multiple campaigns for different groups of contacts.
What is a mailbox?
A mailbox is a connected Gmail account that GmailFlow can use to send emails. For example, if you connect [email protected] and [email protected], you have 2 mailboxes.
What is a contact?
A contact is a person you've added to GmailFlow as a recipient for your email sequences. Contacts can be added individually or imported in bulk, such as from a CSV file. Your plan's contact limit determines how many contacts you can have available in GmailFlow.
What is an active campaign?
An active campaign is a campaign that is currently running and sending emails according to its configured schedule. For example, if you create a campaign using your "Client Follow-Up" sequence and it is currently sending or waiting to send the next step, that campaign counts as active. Your plan's campaign limit counts every campaign until it's completed, drafts and paused ones included. A running campaign completes on its own once it has nothing left to send; a paused one waits for you.
What is a teammate?
A teammate is another person who has access to your GmailFlow team. Teammates can work together in the same account without requiring a separate GmailFlow subscription. Teammates are unlimited on every plan.
Sending from Gmail
Do the emails come from my own address?
Yes. GmailFlow sends emails through the Gmail API from the Gmail account you connect. Emails come from your own address and appear in your Sent folder. Replies continue to arrive in your inbox as usual.
Does it work with Google Workspace?
Yes. GmailFlow works with both personal Gmail accounts and Google Workspace accounts.
Can I connect more than one Gmail account?
Yes, depending on your plan. Each campaign sends from one selected account, so recipients consistently receive emails from the same address.
How much can I send per day?
Each campaign has its own daily sending limit that you can set. Your plan also sets how many emails your team can send each day and each month, while Google applies its own sending limits to each Gmail account.
What happens when someone replies?
You decide what happens next when you build your sequence. You can configure the sequence to stop, continue, or follow the rules you've set when a recipient replies.
Can I pause a campaign?
Yes. When you pause a campaign, recipients stay on their current step. When you resume it, they continue from where they left off.
Recipients and privacy
How does GmailFlow access my inbox?
GmailFlow uses the Gmail API to manage email sending and detect replies and bounces. To detect replies and bounces, GmailFlow reads message headers. We don't read the content of the emails in your inbox.
Can recipients tell I use GmailFlow?
Emails are sent from your Gmail address and don't include GmailFlow branding or a "sent by GmailFlow" label. Every email does carry an unsubscribe header with a link on GmailFlow's domain, which some email apps show as an Unsubscribe button. If you enable click tracking, links go through a redirect on GmailFlow's domain. If you enable open tracking, a small, invisible tracking pixel is added to the email.
Can recipients unsubscribe?
Yes. Emails include an unsubscribe option. When someone opts out, GmailFlow keeps them from receiving future campaign emails.
What happens when an email bounces?
A hard bounce marks the address as undeliverable, and GmailFlow suppresses that address so it won't receive additional campaign emails.
Can I get my data out?
Yes. You can export your account data or delete it from your settings at any time.
Plans and billing
Do teammates count toward my plan's limits?
No. GmailFlow allows unlimited teammates on every plan. Your plan limits are based on things such as connected mailboxes, daily and monthly email limits, contacts, and active campaigns, not the number of teammates.
Can I try GmailFlow before paying?
Yes. Paid plans start with a 7-day free trial.
Can I cancel anytime?
Yes. Cancel from the billing page whenever you like. Your plan stays active until the end of the period you've paid for, and doesn't renew after that.
